7 Questions to Ask Any Coffee Cart Vendor Before You Book

Coffee carts have gotten popular — which means there are a lot of them to choose from, and not all of them are built for the kind of event you're planning.

If you're an event coordinator, marketing director, or office manager responsible for how the day goes, the cheapest quote isn't always the safest one. Here are the questions worth asking before you book, and what the answers actually tell you.

1. How many events have you done like mine?

A coffee cart for a 30-person office party is a different job than a coffee cart for a 300-person trade show booth or a brand activation with custom drink specs. Ask specifically about experience with your event type and size, not just "events" in general.

2. What happens if it rains, runs long, or the guest count changes?

Events rarely go exactly as planned. A vendor who has a real answer for weather contingencies, overtime, and last-minute headcount changes is a vendor who's done this enough times to have a plan. A vague answer here is a preview of how they'll handle it on the day of.

3. Who will actually show up — and how do I reach you that day?

Find out whether you'll have a direct line to someone on event day, or whether you'll be routed through a call center or app. For corporate and brand events especially, having a real point of contact who answers the phone is the difference between a small hiccup and a real problem.

4. Can you customize the drinks or branding, and what does that process look like?

Custom branding — logos on cups, printed latte art, a menu that matches your event theme — is one of the easiest ways to make a coffee cart feel like part of your event instead of a rented add-on. Ask to see examples of past branded setups, and ask how far in advance you need to provide your logo or design files.

5. What's included in the quote, and what isn't?

Setup and breakdown time, travel fees, gratuity, cups and napkins, generator or power requirements — these line items add up, and they're not always itemized clearly upfront. Ask for a full breakdown before you compare prices across vendors, since the lowest number on the page isn't always the lowest total cost.

6. How far out do I need to book, and what's your cancellation policy?

Reliable vendors tend to book up — if a company can fit you in next week for any date, that's worth asking about. Also confirm the cancellation and rescheduling policy in writing before you sign, especially for events with dates that could shift.

7. Can I see reviews or talk to a past client?

Anyone can put together a nice-looking proposal. Reviews and references tell you how the vendor performs under real conditions — whether they showed up on time, handled the unexpected well, and left guests with a good impression of the host.

Why This Matters More Than the Price
